Mountainscape Weddings’ planners ensure smooth facilitation of all aspects of their client's wedding day. They ensure the results exceed expectations. The wedding planner organizes and coordinates all types of wedding-related events including elopements, rehearsals, ceremonies, decor installations, wedding receptions and pre/post wedding activities. In essence, the wedding planner flawlessly executes every detail ensuring the wedding couple has a carefree, idyllic, mountain wedding experience.

This role is intended for someone with previous event planning/management experience and a passion for superior customer service.

This role will begin immediately, as soon as we find the perfect candidate!

RESPONSIBILITIES:

Event Planning & Coordination:

preparing and organizing operations documents such as timelines, critical paths, scope of work, venue/vendor bookings
develop and nurture positive relationships with clients, vendors and venues
coordinate all wedding elements from start to finish, in either a lead or supporting capacity, following Mountainscape's procedures
coordinate logistics for clients and vendors, assist with load-in/out, convey instructions to support team members
use planning skills & experience to mitigate potential challenges or onsite hiccups
ensure wedding events are punctual and run according to clients' vision
ensure safety, security, and first aid policies are in place for all parties involved
assisting in the sales process including attending meetings, site visits and consultations to secure future wedding bookings
Communication:

excellent verbal and digital communication in English
having skills in a second language is an asset, but not required
maintain friendly, professional communication with clients, colleagues and industry partners
provide positive onsite leadership and clear instructions for your operations team and vendors
customer relationship management - ensuring clients’ files are up to date: client information, requirements, requests are all recorded accurately and actioned appropriately
record post-event feedback to our team following each event
General Skills, Qualifications & Requirements:

experience or training in planning and operating weddings and/or special events is required
ability to follow and improve Mountainscape's procedures, including Covid-19 protocols
organized email and communications workflows, with the ability to work on many wedding projects simultaneously
quality-oriented with a keen eye for detail
computer savvy, including having skills in Microsoft Office suite or Google Docs, with the ability to easily learn new software systems
maintain and enhance a work environment that actively supports Mountainscape’s core values including inclusivity and diversity
other duties as required, related to other company operations, both internal and external
available to work Monday to Friday 9am-5pm with the flexibility to work onsite for weddings on weekends and after regular business hours
ability to work in a fast-paced dynamic environment, without sacrificing quality
organized, punctual, efficient, and able to meet deadlines
strong skills in decision-making and conflict management and resolution
ability to work collaboratively and independently with minimal supervision
Standard First Aid and/or CPR certification is an asset
valid Class 5 driver’s license is required
Hospitality/food & beverage experience is considered an asset
