Job Description

Are you an individual with a high level of attention to detail and have a gregarious personality?

Are you one who is looking to grow your skills in the area of Group Reservations within the hospitality industry, whilst enjoying the breathtaking setting of the Canadian Rockies?

Starting Rate: $19.93 per hour

We recognize tenure through our compensation. Hourly rates increase after six months, and yearly to three years. At three years the pay rate for this role would be $24.90

Job Duties Include:

Assisting group organizers and Conference Services Managers with room related requests.
Collecting and inputting rooming lists and working with the Conference Services Managers to ensure this information is collated in a timely manner
Responding to all enquiries in the Group Services inbox
Corresponding with guests and clients via telephone and monitoring Group Services voicemail regularly
Ensuring group billing procedures are set up accurately to meet client expectations and deadlines
Reviewing group contracts, billing, rates, inventory and ensuring all is set up correctly
Running block status and production change reports daily and updating group blocks accordingly
Ensuring that inventory is loaded, maintained and balanced daily in the Central Reservations & Property Manager Systems, as well as in GroupMax/Passkey
Working closely with Sales, Conference Services, Front Office and Accounting teams to ensure all client expectations are met and/or exceeded
Weekly review of individual pick up groups to ensure inventory is reported accurately and that sufficient inventory is available for booking
Auditing group contracts to ensure inventory is holding correctly, all concessions have been set-up accurately, and advising of any potential concerns that are foreseen
Building rates and packages for groups and conferences based on what has been negotiated in contracts
Attending pre-convention meetings as representative of Group Services department for the hotel
Assisting with duties within other Reservations Segments (Leisure, Tour & FIT) when required
Assisting with all other duties as assigned.

Qualifications

Your Skills & Qualifications:

Previous reservations experience is an asset
Must display strong analytical, organizational and administrative skills to be able to deal with multiple priorities simultaneously
Passion for hotel operations with a high level of attention to detail
Strong working knowledge of Opera Property Manager System (PMS)
Working knowledge of Passkey/GroupMax is an asset
Strong communication, interpersonal and problem solving skills
Excellent written and verbal skills required
Strong computer skills with a working knowledge of Word, and Excel
Professional presentation with ability to work well under pressure in a fast paced environment
Must be willing to work shifts and varied days off on occasion.
