Job Description

As a Food and Beverage Tour Dining & Sales Coordinator, you will be responsible for driving sales and promoting food and beverage offerings in a variety of venues within the Fairmont Banff Springs Hotel. Your primary focus will be coordinating groups and tour dining experiences at the different outlets and banquet areas of the hotel being the link between our tour directors and venues and banquet leadership. The Food and Beverage Tour Dining & Sales Coordinator also assists Restaurant Manager with promotional collaterals for venues including menu design, development of experiences, promotional events and entertainment.

Competitive Salary: $52,000-$54,000 gross annually, based on previous experience & education

Job Duties Include:

Sales:

Assist in developing and implementing effective sales strategies to increase food and beverage revenue.
Facilitate all large group reservations in the restaurants (12 guests or more)
Facilitate out of house and sub groups interested in restaurant bookings
Respond to and coordinate special requests such as cake orders, kosher and halal request and other celebrations
Coordinate reservations for Site Visits, FAMs, BDTs and VIP reservations coming from the Sales Office or Executive Office
Client Relations:

Build and maintain strong relationships with existing clients to encourage repeat business and customer loyalty.
Respond to client & tour directors inquiries in a timely matter and provide relevant information about available food and beverage packages, pricing, and services.
Handle guest’s feedback, concerns, and complaints in a professional and timely manner to ensure customer satisfaction.
Review online reviews and communicate trends to Restaurant Managers
Create dining blocks in Open Table for all the outlets & update reservations as we get the information of the guests from tour directors.
Event Management:

Assist if needed in coordinating food and beverage services for events, conferences, and banquets.
Block banquet spaces for special events and tours dining & welcome receptions.
Work closely with the event planning team to ensure seamless execution of catering requirements.
Coordinate with kitchen and service staff to guarantee the timely and efficient delivery of food and beverage services during events.
Share in a timely matter clear Banquet Event Orders with all needed details to ensure the success of events.
Assist with billing, getting deposit and ensuring that accounts balance against BEOs.
Assist with entertainment bookings.
Administrative Duties:

Maintain accurate and up-to-date records of sales, contracts, and customer interactions.
Handle invoicing and payment processing for food and beverage services.
Assist Restaurant Managers with group’s menu development, editing and printing.
Assist Restaurant Managers with small projects including promotions and printing materials.
Review online content to ensure accuracy. Open Table, Google, Trip Advisor, Yelp. Ur Venue, Bing.
Attend F&B weekly meetings, VIP meetings, Resume meetings, Pre-Conference Meetings and send detailed minute to F&B leaders.
Assist in reviewing hour of operations and accuracy with Open Table settings.
Contribute to a hotel committee.
Cross-Functional Collaboration:

Coordinate with the operations team to ensure smooth service delivery and adherence to quality standards.
Coordinate with the Marketing Team to ensure accuracy messaging in online content.
Review directional signage through the property to ensure accuracy.
Assist with other duties as assigned.

Qualifications

Your Skills & Qualifications:

Proven experience in sales, preferably in the food and beverage or hospitality industry.
2 years previous experience of dining reservation and/or office administration in an F&B setting will be considered an asset.
Excellent communication and negotiation skills to interact effectively with clients and colleagues.
Strong organizational and time management abilities to handle multiple tasks and prioritize accordingly.
Proficiency in using Sales & Catering Software and Open Table.
Proficiency in using Microsoft software and menu design softwares such as InDesign.
Knowledge of food and beverage products, industry trends, and market dynamics.
Colleague or Bachelor's degree in business, hospitality, sales or marketing or a related field.
Flexible to work weekends, holidays and evenings as needed.
