This position is an executive financial and administrative role responsible for working with the Chief Executive Officer, the Executive and Finance Committees of the Board, and the senior management team to ensure creative and efficient management of the organization in accordance with established board policies and objectives and recognized professional standards in order to enhance the Whyte’s reputation and image with all of its publics. Reports to the Chief Executive Officer and, through her, works closely with the Executive and Finance Committees of the Board in developing and delivering strategic objectives. Specific Responsibilities: Financial duties: Provides strategic advice and guidance to the CEO. Responsible for all areas of financial management and makes appropriate recommendations on financial policy, planning and procedures in order to make the most effective use of the financial resources of the organization. Ensures all operations comply with accepted practices and standards. Responsible for the management of the Whyte’s investment portfolio. Attends quarterly Board and Finance Committee meetings in order to present financial, real estate, and investment results and to discuss any related issues. Responsible for the management of all accounting systems and controls and all treasury functions including cash management, payroll and annual audit. Responsible for annual operating and capital budgets. Oversees the revenue-generating areas of the Museum – retail shop, programs, tours, rentals. Assists staff in preparing and monitoring budgets. Property management: Responsible for the management of all of the Whyte real estate properties, including the commercial properties, the Masonic Hall, Abegweit and the Museum Building. In charge of leases of all commercial and residential properties. Operations: Establishes internal policies and procedures to ensure that the organization operates in a timely and effective manner. Reviews the Human Resources policy, including salary ranges, professional development, annual reviews. Ensures high level performance of staff and healthy succession by selecting, developing, motivating and training staff. Responsible for ensuring the IT needs of the museum are handled in a professional and timely way. Responsible for effective, transparent and efficient internal communication systems. Responsible for risk management and disaster preparedness. Identifies new ideas, techniques and opportunities for improving effectiveness, performance and productivity. From time to time, officially represents the organization in public and community activities. Responsible for the management of any major projects, including revenue and cost analysis, budgeting, cost accounting, cost control, invoice control, and effective management of contractors and sub-contractors. Works with the CEO and the capital committee in planning, initiating and delivering a capital campaign. Qualifications: University Degree and experience in financial management, real property management and management of investment portfolios. A minimum of ten years of increasing responsibility in operational leadership, and strategic planning. Experience in the non-profit cultural arts sector is an asset. Knowledge of CRM systems such as TAM and QuickBooks accounting system. Familiar with IT infrastructure and experience in integrating it into daily operations. Experience with contemporary communications and office software such as Microsoft 365 and Teams. Experience with large capital and construction projects is highly desirable. Real estate management experience is a plus. Impeccable integrity, solid work ethic, positive attitude, and a sense of humor are required.
