Roam Transit, otherwise known as the Bow Valley Regional Transit Services Commission (BVRTSC), is a vital regional transit provider dedicated to offering sustainable, reliable, and accessible public transit throughout the Bow Valley – connecting Banff, Canmore, and Lake Louise. Roam is committed to supporting both residents and visitors by delivering year-round and seasonal transit services to those wishing to explore the Bow Valley region without the use of a private vehicle. The organization plays a critical role in enhancing mobility, reducing environmental impact, alleviating traffic congestion, and improving the overall transit experience across the region. What We’re Looking For: Roam is seeking an organized and proactive Office Administrator who will play a key role in centralizing and delivering administrative support across Roam Transit, ensuring consistency and efficiency in office operations. Reporting to the Director of Finance and Administration, this role manages day-to-day tasks such as document organization, supply and asset coordination, and general office administration. This role is instrumental in maintaining an organized, well-functioning workplace, enabling Roam team members to focus on delivering safe, reliable, and customer-focused transit services. Responsibilities: Office Administration & Facilities: Provide administrative support across all departments to ensure smooth and efficient operations. Perform general office administration duties, including filing, photocopying, scanning, and various other duties as required. Manage outgoing and incoming mail, including postage and courier arrangements. Supporting the upkeep of shared office-related spaces, including meeting and break rooms. Provide administrative support with training materials and assistance with policy writing with a strong focus on health and safety. Maintain and organize documents and records, both physical and digital. Maintain and regularly update the company phone list ensuring accurate and up-to-date contact information. Manage utility, cell phone and office cleaning contracts. Assist managers with monthly credit card reconciliations. Office Supplies & Inventory: Manage office supply inventory and coordinate consolidated ordering of stationery, kitchen, and cleaning supplies. Manage uniform stock and ordering, maintaining adequate supply for all departments. Coordinate ordering of operational consumable supplies, including Hotel Partner Passes, stamps, ticket printing supplies, and vending machine paper. Coordinate orders for Passes, Business cards, Christmas cards, and other office materials. Administer employee key cards, driver name plates and other regular office items. Update and maintain assets listings, including laptops, cell phones, and tablets. This may also require monitoring renewals/replacements. Maintain contact lists for suppliers and vendors. Meetings & Events: Coordinate external meeting arrangements and business travel plans as required. Assist with planning and coordinating company events, such as Orientation Day, Christmas parties, and BBQ’s. Assist with the administration for Board meetings, preparation of board packages, and post-meeting organization. Take minutes at monthly Commission and other organizational meetings as required. Operational Support: Coordinate the ordering and distribution of fuel keys, conducting regular audits ensuring accurate tracking. Serve as backup for the Data Analyst, managing ridership statistics in their absence. Maintain driver licenses, abstracts, and medical records to ensure all required documentation is current and compliant. Additional administrative projects may be assigned to support all departments as required. Qualifications: Education Requirement: High school diploma or GED is required. Post-Secondary Degree or Diploma in Office Administration, Business, or a related field. A combination of education and relevant work experience will also be considered. Experience: Minimum of 2 years of administrative experience in an office environment. Proven experience in administrative support, including document management, record keeping, and office organization. Proven experience coordinating meetings, events, and general office logistics. Proficiency with Microsoft Office applications (Word, Excel, Outlook, SharePoint, Teams) is required. Municipal government or public transit experience considered an asset. Experience with health and safety program administration, including related procedures and protocols, is considered an asset. Knowledge, skills, and abilities: Excellent organizational and time management, with strong attention to detail. Ability to thrive in a fast-paced, multitasking environment. Ability to work independently and collaboratively, supporting teams across departments. Skilled in office administration, including managing documents and using Microsoft Office programs and office equipment. Effective oral and written communication skills. Ability to coordinate meetings, events, and office logistics. Proficiency in interacting effectively and positively with the public and colleagues in an office environment. Other Requirements/Conditions: Valid Class 5 Driver’s license is required. Alberta driver’s licence in good standing. Must be legally able to work in Canada (proof will be required). Must pass police security clearance (proof will be required). What we offer: A competitive annual salary between $55,000 - $58,000. Paid vacation, starting at 3 weeks per year. Roam Transit bus pass valid throughout the Bow Valley Team environment with multiple fun staff events!
