What can you expect?

The Reception & Group Services Assistant plays a visible role, serving as the face of the General & Executive Offices while assisting with groups and events at the Resort. Reporting to the Reception & Group Services Coordinator, and collaborating with all departments, this role also supports the VP Sales & Marketing.

Reception

Manage and oversee all processes, correspondence, and appointments at the Reception desk.
Handle the issuance and tracking of Contra, Corporate, Contractor, and Complimentary Tickets.
Perform a broad range of administrative duties, answering calls, transcribing voicemails, responding to emails, and maintaining various logs, statistics, reports.
Collect and organize information and requirements for potential and upcoming events, ensuring critical path components are maintained.
Support the VP with management of events and corporate accounts.

Group Services

Collaborate with the Group Coordinator as the on-mountain contact for groups transferred from Business Development and Group Sales teams, ensuring a seamless group experience from arrival to departure.
Coordinate group functions, process payments, and manage product distribution. Prepare tickets, vouchers, and facilitate the "meet and greet" process, reviewing itineraries and serving as a knowledgeable Resort guide.
Aid in event setup and execution, including course arrangement, start lists, and prizing.
Maintain consistent communication with groups before and during their Resort visit.

Administrative Functions

Ensure accurate and timely documentation of meetings, schedules, reports, incident reporting, and health and safety hazard assessments.
Prepare and review group forms and internal function sheets.
Generate comprehensive and precise revenue and cash reports on a daily basis.
Complete end-of-day system procedures, including nightly processing.
Adhere to and communicate company initiatives, policies, and procedures.

Other duties may be requested and assigned periodically.

And you have:
Post-secondary education in business is preferred, relevant experience will be considered.
Industry experience, primarily in ticketing, sales, groups management, and customer service, is preferred.
Positive, mature, and professional attitude.
Must be organized, take initiative, and be able to work independently and collaboratively.
Willingness to work flexible schedules, including weekends, holidays, and extended hours.
Maintain composure under pressure, demonstrate patience and effective time management.
Proficient communication skills in English, written and verbal.
Ability to maintain confidentiality.
Uphold professionalism while representing the company on and off duty.
Effectively provide support and assistance to coworkers and a variety of guests, including children.
Attend and actively participate in meetings and training inside and outside of the department.
Must be neat, alert, punctual and dependable.
Advanced knowledge of Microsoft Office programs (e.g., Outlook, Excel, Teams, SharePoint) an asset.

Employees must always be of sound mind, exhibit good judgment, and report to work fit for duty.
Some uniform pieces are provided. A business casual approach under the Grooming Policy is required.
