The Nurse Practitioners Association of Alberta (NPAA) is the professional voice of nurse practitioners in Alberta. Position Summary
The Administrative Coordinator supports key administrative and coordination functions of the Nurse Practitioners Association of Alberta. This role is responsible for membership administration, coordination of NPAA events and meetings, communications workflow support, and research and drafting of new non-repayable funding applications.

The role works closely with the Executive Director and team to support the effective delivery of NPAA initiatives and funding opportunities.

Responsibilities

Process new membership applications
Confirm eligibility categories using established criteria
Enter and maintain accurate member records in the membership database
Issue confirmation emails and receipts
Manage renewal reminders and follow up on overdue accounts
Respond to routine membership inquiries
Maintain accurate and up-to-date membership files
Prepare monthly and AGM membership summary reports
Ensure data accuracy and integrity within membership systems
Event and Conference Coordination

Plan and coordinate logistics for NPAA meetings, conferences, and events
Secure venues and manage bookings
Coordinate registration and attendee tracking
Liaise with speakers and confirm presentation materials
Prepare event communications and reminders
Support on-site coordination when required
Track event budgets as directed
Maintain organized event documentation and records
Communications Workflow Support

Maintain the newsletter editorial calendar
Track content submissions and deadlines
Follow up on outstanding content submissions
Coordinate newsletter production workflow
Format and distribute newsletters
Post approved updates to the website
Maintain event listings and routine website updates
Maintain organized communications files
Funding Application Support

Research funding opportunities aligned with NPAA priorities
Review eligibility criteria and deadlines
Maintain a funding opportunity tracker
Draft grant applications under the direction of the Executive Director
Assemble required attachments and supporting documentation
Track submission deadlines and funding decisions

Skills and Qualifications

Bachelor’s degree in business administration, communications, public administration, nonprofit management, or a related field
Experience in administrative coordination or operational support
Experience coordinating meetings, events, or conferences
Strong organizational and time-management skills
Strong written communication skills
Ability to manage multiple priorities and deadlines
Proficiency with Microsoft Office, Google Workspace, and digital collaboration tools
Advanced proficiency in spoken and written English required
Experience researching or drafting funding applications
Valid driver’s licence or ability to travel to occasional in-person meetings or events
