Administrative Assistant
This is a term position from July 2024 to July 2025

The Opportunity
The Administrative Assistant provides support and backup for various areas of Financial Services, Procurement and Physical Facilities. The position is responsible for processing accounting transactions, procurement clerical duties and administrative support in physical facilities.

Roles and Responsibilities
Reporting to Manager, Accounting and Financial Reporting, below are some key accountabilities:

Accounting

processing purchase and payment requests
responding to vendor inquiries
providing administrative back-up
support for other accounting team members as assigned
Procurement

processing purchase orders
entering new vendor data in accordance with established practices
administering the inventory management and Navision (“NAV”) systems
administering cell phone fleet requirements including, for example, new phone orders, account data entry updates, resetting voicemails, trouble shooting, blocking/unblocking international roaming, user point of contact, invoice processing, etc.
Physical Facilities

processing purchase requests
creating work orders in accordance with established practices
monitoring and first level response of physical facilities inbox
coordinating vehicle fleet bookings, maintenance and other related tracking
organizing and filing blue prints as required
accessing and updating insurance information as required
Qualifications and Educational Requirements
Possesses 1 to 3 years of experience in an office environment, experience in financial related transactions is an asset
Demonstrated experience dealing with administrative transactions in multiple areas of focus
Strong attention to detail and exceptionally accurate
Able to work in a team environment
Able to organize multiple tasks on a daily, changing basis
Experience dealing effectively with interruptions and changing priorities
Proficient with Microsoft office suite, specifically excel
Experience with Microsoft NAV Dynamics is an asset
Employment Terms and Benefits
In accordance with CUPE 4318, this is a unionized, hourly support staff position, subject to a 500-hour probationary period.
This position pays 18.92 per hour working up to 35 hours per week on a regular schedule.
