Production Administrative Coordinator
This is a term position from September 15, 2024, to November 8, 2024

The Opportunity
The Banff Centre Mountain Film and Book Festival is one of the flagship programs of Banff Centre. What began as a one-day festival of climbing films has now blossomed into a nine-day event in Banff that explores and celebrates what Mountain Culture means to people around the world. Events include film screenings; readings; guest-speaker presentations; film, book, essay, and photography competitions; film-making, writing, and photography workshops; and art and craft and mountain gear markets.

Banff Centre is looking for a Production Administrative Coordinator to provide administrative support for all aspects of the technical planning and delivery of the Banff Centre Mountain Film and Book Festival (BCMFBF) and its related programming events.

Roles and Responsibilities
Reporting to Senior Technical Producer, below are some key accountabilities:

Communicating on a regular basis with the Senior Technical Producer and the Festival Directors to oversee the detailed technical planning of the Festival programs and events.
Communicating with presenters and faculty to determine technical specifications for each program as well as equipment, space, and facility needs. Liaise with Festival Directors to establish technical rehearsal schedules and to ensure faculty are informed and prepared to participate.
Assisting the Festival Directors with the technical delivery of the program by providing orientation sessions, answering technical questions, providing site inspections, following-up on space and facility needs, and liaising with the appropriate BCMFBF and Program Operations staff on specific requests related to the technical production of each program.
Assisting with recruitment, contract preparation, and scheduling of technical, termed staff
Assisting with all relations, logistics, and administrative details relating to the sourcing and acquisition of technical equipment and related sponsorships, including their timely delivery and return
Updating and maintaining the centralized database as it relates to event production.
Providing technical support at festivals' seminars and special events in all venues, as required
In the absence of the Directors, serving as front-line contact for all technical issues, responding to inquiries and providing information as required.
Qualifications and Educational Requirements
Minimum three to five years administrative experience in event production.
Completion of a university degree in a related discipline or equivalent professional experience.
Substantial experience in program delivery and project management
Strong computer skills including word processing, Outlook, Excel, and databases.
Well-developed communication and interpersonal skills, ability to interact professionally with outside individuals and organizations, ability to seek collaborative solutions and to persuade others.
Strong organizational and time management skills
High level of commitment to delivery of customer service excellence
Ability to work effectively under pressure, with shifting priorities.
Ability to manage multiple projects at once with a high level of attention to detail
Ability to work effectively within an approved budget.
Adept at problem-solving, decision-making, and negotiating win-win solutions with individuals and or groups.
Previous experience or knowledge of electronic multi-media presentation technology is an asset.
Special Requirements
Due to the nature of the job, this position requires the candidate to be available to work a flexible, irregular schedule and weekends.
Employment Terms and Benefits
This is a term position from September 15, 2024 to November 8, 2024
In accordance with CUPE 4318, this is a unionized, hourly support staff position, subject to a 500 hour probationary period.
This position pays $27.17 per hour working up to 40 hours per week on a rotating schedule.
