What can you expect?
The Reception & Group Services Coordinator is in a visible role, acting as the face of the General & Executive Offices, and assisting with groups and events at the Resort. This role assists the VP Sales & Marketing, works at the direction of the Reception & Group Services Coordinator, and alongside all departments.

The Group Services Coordinator aims to create an amazing guest experience for every group that comes to Sunshine Village. This role is a visible role, acting as the face of the General & Executive Offices, and assists the Group Services department with coordinating group functions and events, processing payments for groups and ensuring the groups arrival, stay and departure are a rewarding experience. Reporting to the Reception & Group Services Supervisor, and collaborating with all departments, this role also supports the VP Sales & Marketing.

Reception
Managing and overseeing all processes, correspondence, and appointments, at the Reception desk.
Manage, issue, and track: Contra, Corporate, Contractor, Complimentary Ticket issuances.
Perform a broad range of administrative duties and tasks, answering phone, transcribing voicemails, responding to emails, and maintaining various logs, statistics, reports.
Collecting and organizing information, requirements, and maintaining critical path components for potential and upcoming/schedule events.
Support the VP with management of events and corporate accounts.
Group Services
Collaborate with groups as the primary on-mountain contact for groups transferred from Business Development and Group Sales teams, ensuring a seamless group experience from arrival to departure.
Coordinate
Coordinate and collaborate with all on-mountain departments to ensure a seamless booking process and trip for each group.
Establish and maintain positive working relationships with all departments such as accounting, hotel, mountain operations, rentals and snow school.
Coordinate all group functions and product distribution, including preparing tickets, vouchers, doing the “meet and greet” and reviewing itineraries.
Maintain consistent communication with groups before and during their Resort visit.
Act as the primary Resort tour guide when groups arrive.
Prioritize groups’ inquiries, concerns, and complaints and work to negotiate the most effective solution to any issues that may arise.
Aid in event setup and execution, including course arrangement, start lists, and prizing.
Administrative Functions
Timely, complete, accurate documentation e.g., meetings, schedules, reports, incident reporting, health and safety hazard assessments.
Prepare and review group forms and internal function sheets.
Ensure accuracy of accounting invoices, payments, deposits and daily sales reports for all group activities.
Prepare complete and accurate revenue and cash reports, daily.
Complete end of day system procedures, including nightly processing.
Maintain accurate logs and statistics.
Communicating and adhering to company initiatives, policies, and procedures.
Assisting with various administrative duties.
Other duties may be requested and assigned from time to time.

And you have:
Post-secondary education in business is preferred, relevant experience will be considered.
Experience with booking, planning and implementing events is considered an asset.
Experience facilitating large group bookings of 50 or more people is considered an asset.
Industry experience, primarily in ticketing, sales, groups management, and customer service, is preferred.
Positive, mature, and professional attitude.
Must be organized, take initiative, and be able to work independently and collaboratively.
Prepared to work flexible schedules, including weekends, holidays, and extended hours.
Maintain composure under pressure, demonstrate patience and effective time management.
Proficient communication skills in English, written and verbal.
Ability to maintain confidentiality.
Maintain professional conduct when knowingly acting as a company representative, on or off duty.
Effectively provide support and assistance to coworkers and a variety of guests, including children.
Attend and actively participate in meetings and training inside and outside of own department.
Must be neat, alert, punctual and dependable.
Advanced knowledge of Microsoft Office programs (e.g., Outlook, Excel, Teams, SharePoint) an asset.
Maintain a professional appearance and attitude at all times.

Employees must always be of sound mind, exhibit good judgment, and report to work fit for duty.
Some uniform pieces are provided. A business casual approach under the Grooming Policy is required.
Given the handling of sensitive information, this role must adhere to high standards of professionalism and confidentiality.
