SkiBig3 is currently recruiting for the seasonal position of Administrative & Accounting Assistant to join our team for the 24/25 winter season.

Reporting to the Manager of People Operations and the Finance Manager, the primary focus of the person in this role is to provide overall administrative and accounts payable support for all SkiBig3 departments.

The person in this role will connect with other SkiBig3 departments and resorts, (Banff Sunshine/Lake Louise Ski Resort/Mt Norquay.)

The Admin & Accounting Assistant will be performing daily duties and responsibilities outlined below:

Duties & Responsibilities Include:

Administrative Assistant Tasks:

Handling and directing general enquiries via email
Supporting administration of Seasonal employment contracts
Collate and process driver’s abstracts for fleet insurance
Support contras & prize letter exchange administration
Input and distribute staff season passes
Help organize work events and company functions (e.g. room bookings, catering and decorations)
Point of contact for fulfilling resort supply requests (monitoring levels of lift ticket & season pass stock, carabiners, ties etc.)
Handle office supplies ordering & distribution for Head Office and Hub locations
Reconcile staff timesheets to payroll system
Calculate and process season pass refunds according to refund policy
Calculate and process lift ticket refunds
Fraudulent/misuse pass Hotlisting administration
Handle courier & shipping requests from SkiBig3 staff.
Accounts Payable Assistant Tasks:

Accurate coding and processing of vendor invoices, credit notes and expense reports.
Confirm accuracy of partner invoices utilizing Excel to maintain a schedule of accruals.
Communicate directly with reservations managers & vendors to resolve discrepancies.
Assist with EFT and cheque payments processing.
Reconciling vendor statements to ensure all invoices are processed in a timely manner.
File maintenance and retention of Accounts Payable vendor files
Professional communication and correspondence with vendors
Support IT helpdesk requests for minor internal issues (training will be provided)
Triaging usage change requests from resorts and SkiBig3 departments
Supporting accounts receivable processes if capacity allows
Required Skills & Experience:

Post-secondary education in accounting/bookkeeping, or comparable technical work experience.
Excellent skills in Microsoft Excel
Familiarity with accounting systems (e.g. Sage)
Previous experience in accounts payable an asset.
Ability to learn systems including reservations, ticket and pass and scheduling software.
Excellent organizational skills
Excellent communication skills – both verbal and written.
Computer skills in Word, Excel and ‘Outlook’ essential.
Previous office and accounting experience is essential.
Team orientated.
Detail oriented.
Professional.
A valid driver’s license with a clean 3-year driving record is considered an asset.
