Job Summary
The Complaints Agent is the voice of OLHI, the first point of contact for consumers who are often navigating difficult and stressful situations. This role is responsible for providing the highest standards of client service.

As a key representative of OLHI, the Complaints Agent sets the tone for public interactions with the OmbudService. The Complaints Agent must present a professional image by responding to all questions and requests in a warm, polite, supportive, and knowledgeable manner. They appropriately and efficiently guide consumers through the complaint resolution process while maintaining complete client confidentiality.

Duties

Respond to incoming calls and online submissions from consumers wishing to discuss their complaints
Counsel consumers on how to manage complaints with their insurers and how to bring a complaint to OLHI
Identify and close complaints at the initial contact when they fall outside OLHI’s mandate
Assist consumers in obtaining the documentation required to support their complaints
Record complaint information in the Case Management and Reporting System and maintain accurate and timely records
Handle Policy Search requests from consumers and determine which searches will be approved and forwarded to OLHI members
Communicate with consumers using plain language principles
Requirements and Core Competencies

Fluently bilingual; English and French
Minimum of 3 to 5 years of experience in a client or customer service role, preferably in the insurance sector
Life and Health insurance industry experience or other experience as deemed appropriate by the Executive Director
Strong attention to detail and high degree of accuracy
Superior verbal and written communication skills
High level of integrity, confidentiality and accountability
Strong computer skills, including advanced knowledge of Microsoft 365 Word and Outlook
Empathetic listener with the ability to proactively identify solutions for consumers
An effective communicator who understands the value of active listening and attentive problem solving

Responsabilités

Répondre aux appels entrants et aux soumissions en ligne provenant de consommateurs souhaitant discuter de leur plainte
Conseiller les consommateurs sur la façon de gérer leurs plaintes auprès de leur assureur et sur la manière de déposer une plainte auprès de l’OAP
Identifier et clore les plaintes dès le premier contact lorsqu’elles ne relèvent pas du mandat de l’OAP
Aider les consommateurs à obtenir la documentation requise pour appuyer leur plainte
Consigner les renseignements relatifs aux plaintes dans le système de gestion des dossiers et de rapports, et maintenir des dossiers exacts et à jour
Traiter les demandes de recherche de police d’assurance provenant des consommateurs et déterminer quelles recherches seront approuvées et transmises aux membres de l’OAP
Communiquer avec les consommateurs en utilisant des principes de langage clair
Exigences et compétences clés

Parfaitement bilingue, français et anglais
Minimum de 3 à 5 années d’expérience dans un rôle de service à la clientèle, idéalement dans le secteur de l’assurance
Expérience dans l’industrie de l’assurance vie et santé, ou toute autre expérience jugée pertinente par la direction générale
Sens marqué du détail et haut degré de précision
Excellentes compétences en communication verbale et écrite
Haut niveau d’intégrité, de confidentialité et de sens des responsabilités
Solides compétences informatiques, incluant une connaissance avancée de Microsoft 365, notamment Word et Outlook
Grande capacité d’écoute et empathie, avec une aptitude à identifier de façon proactive des solutions pour les consommateurs
Communicateur ou communicatrice efficace, comprenant l’importance de l’écoute active et de la résolution attentive des problèmes
