WHAT THE ROLE IS:

As a Rental Coordinator, you’ll work directly with clients, helping them design incredible events using our huge inventory of rental items. Think of it like retail — but everything gets returned afterward, on purpose! Every event is unique, which means your days will be creative, exciting, and never the same.

You’ll assist clients by navigating our catalogue, creating quotes, estimating labour and delivery costs, offering logistical advice, and finalizing contracts. You’ll meet clients in our showroom to help design table mockups, correspond over phone and email, and occasionally visit venues or assist with onsite event setups.

Rental Coordinators help bring client visions to life across a wide range of events — including weddings, corporate functions, private celebrations, sporting events, outdoor festivals, and more!

This role is perfect for someone with a background in events, retail, accommodations, or food and beverage — or anyone with strong people skills, a love for creativity, and serious organizational talent.

WHAT YOU'LL BE DOING:

Providing a fantastic first impression at our reception, both in person and over the phone
Building genuine relationships with clients, listening to their event needs, and exceeding their expectations
Facilitating showroom visits and décor consultations, recommending products to enhance your clients' vision
Generating rental quotes, converting them into active jobs, and managing multiple contracts simultaneously
Communicating clearly and professionally with clients, colleagues, venues, and vendors via email and phone
Organizing and following up on leads and inquiries
Collaborating with the operations department to ensure a flawless client experience
Assisting with trend spotting and purchasing decisions
Periodically helping the operations team with event setups, linen processing, and floral arrangements
Maintaining a clean, welcoming showroom and office space
Supporting other event-related and administrative duties as needed
SUCCESSFUL CANDIDATES WILL HAVE:

Strong communication and customer service skills in English (additional languages are an asset!)
Excellent time management and organizational skills
A passion for creativity, design trends, and problem-solving
Previous experience in retail sales, customer service, or events
Familiarity with POS systems, basic math skills and deductive reasoning
Experience working with technology and doing product demonstrations
